Dear Wedding Vendor,
Hope this finds you well.
You are receiving this email because we have worked together recently on the same wedding, or we have received an email requesting images from a wedding we have worked on together.
We appreciate every vendor we work with.
We want to nurture great relationships with other vendors.
Sharing images is a great way to build relationships and support other businesses.
Also, we love for you to see how your beautiful contribution was captured.
Furthermore, we love seeing our work shared openly and not collecting dust.
We trust that you value your business and, in turn, services &/or product.
We do, too.
We also believe in a mutual treat-others-how-you-would-want-to-be-treated situation.
We like to be treated with respect and transparency.
We aim to treat you in kind.
For the sake of transparency, we would like to clear up a few misconceptions about our role in facilitating marketing material/commercial usage of images for other vendors present at the same wedding:
We are not trying to be difficult or demanding; we are protective of our work (as we assume you are of yours, too).
Weddings are not the same as styled or collaborative shoots.
We have an agreement through the form of a contract with each of our couples to provide images to them for personal use only. Our couples have no authority from us to provide images to you (in fact, it is illegal); the terms and conditions applicable to our couples does not extend to vendors. Please do not ask them for images; the best avenue is directly with us. If you do approach the couple, they provide them to you, and you use them, you may hear from us.
We do not owe any vendors any images; images are our livelihood. If you are a florist (your livelihood), you do not owe us flowers because we worked together on the same wedding. If you are a dressmaker, you do not owe us a gown. If you are a cake artist, you do not owe us a cake in exchange for working on the same wedding. If you are a celebrant, well… we are already married!
Images of your product or service do not become your property. This seems to be a misconception that we have come across; confusion does not excuse misuse of our images.
Typically, you use the images for commercial purposes; this becomes a commercial agreement between your business and our business.
We are all about options and, in this situation, you have two options to choose from:
If you would like unequivocal access to images of your product and/or service, we can send a quote to you.
If you are in agreement that you will credit images with “Image by Poppy & Sage Photography” from the wedding whenever and wherever you choose to share them, we are happy to provide the images to you in exchange for a formal agreement outlining terms and conditions.
The most important condition of your use of our image(s) is that you post a live hyperlink (URL) back to our website: www.poppyandsagephotography.com.au.
Images cannot be altered or edited in any manner.
Images cannot be submitted without our permission.
Do not sell the images on or create assets intended for resale or distribution; includes both digital and physical.
Do not share the images with other businesses; please refer back to us.
Improper usage will result in an invoice.
